K-People Europe is a recruitment consultancy specialized in Korean speaking jobs with a dedicated Korean recruitment consultant working in London since 2007.
Our client, a reputable global financing company, is looking for a Korean speaking Executive Assistant to provide a comprehensive administrative support to the Managing Director(MD) and Deputy Managing Director(DMD) of the company.
[Key Responsibilities]
(1) Management Support
- Ensure the smooth and effective running of the MD and DMD diaries through managing conflicting priorities with limited referral to management and by proactively responding to the changing needs of the business by arranging, cancelling, and re-arranging meetings and events.
- Directly manage the expenses for the MD and DMD, both personal and corporate and submit monthly information to finance division.
(2) General Administration
- Undertake a variety of administrative tasks to ensure the smooth operation of the office function.
- Collate and produce presentations where needed for MD and DMD whilst liaising with key stakeholders for data.
- Be the primary contact for the company for all MD and DMD related queries.
(3) Travel Arrangements
- Responsible for all travel arrangements and co-ordination of the business trips for both MD and DMD.
- Conduct ad-hoc travel provider reviews to ensure the best quality service and costs for the company.
- Assist with general employee queries relating to the company travel provider and manage the annual contract and invoicing process.
(4) Events Management
- Organising and managing the company’s business conferences, including assistance with department conferences.
- Management of any other major events including logistics of internal/external meetings.
(5) Communication
- Produce accurate and timely correspondence for senior management, plus complete company forms and documentation, and coordinate and circulate general internal and external business communications for both the company and globally.
(6) Secretarial
- Minute taking of the weekly Senior Management Team meeting and other internal committees or ad-hoc meetings when required.
- Arrange or assist the company’s Board meeting on a quarterly basis
(7) Corporate Culture and Internal PR
- Champion core values and company behaviours, including diversity and inclusion, and help ensure they are incorporated into the company’s brand identity though internal communications and internal PR.
- Promote the company’s corporate culture initiatives within internal and external business communications and internal PR activity.
(8) Risk and Compliance
- In line with the company’s risk and compliance statement of responsibility and objectives, identify risks, incidents and breaches, in accordance with company policies and department procedures.
- Represent the MD Executive Office as a Privacy Advocate, taking care of information security, EU GDPR and PII data.
[Requirements]
(1) Must be fluent in both Korean and English
(2) Must have minimum 2 years’ relevant work experience in UK
(3) Excellent communication & interpersonal skills (must be comfortable and confident when dealing with Board level management)
(4) Must be able to produce sound working documentation and presentations
(5) Must have sound planning skills and be capable of effectively maintaining and managing diary space for senior management, prioritising meeting requests and the managing the delivery of events and conferences.
(6) Must be an excellent team player, able to establish strong working relationships with stakeholders, colleagues and business partners.
(7) Must display sound time management skills by performing all activity within prescribed timeframes through the effective prioritisation of actions across multiple tasks.
[Conditions]
(1) Hybrid working: 3 days working from home & 2 days in the office in Reigate, Surrey
(2) Basic salary: Up to 40K (depending on experience)
(3) Performance based bonus (up to 15%)
(4) Annual leave: 35 days (including 8 Bank/Public Holidays)
